Privacy Policy

1. Who we are

Manakodex is a price intelligence tool for the Pokémon Trading Card Game, available at manakodex.com. For any questions about how we handle your personal data, contact us at hello@manakodex.com.

2. What data we collect

We collect only the data strictly necessary to operate the service:

  • Waitlist email addresses. If you submit your email address via the waitlist form, it is stored so we can notify you when access opens.
  • Account data. Authentication is handled by PropelAuth. When you create an account, PropelAuth collects your email address and manages your credentials. We receive an anonymised user identifier and your organisation metadata (a solo organisation created automatically on sign-up).
  • Usage data. When you are signed in (website or mobile app), we measure how the service is used with PostHog (servers in the European Union): pages viewed and actions, country, browser or device type, linked to your account identifier and email. On the website, PostHog sets no cookies and stores nothing in your browser; there is no tracking across sites.
  • Scanned card photos. When you scan a card in the mobile app, the captured image is sent to our servers to identify the card and improve recognition accuracy. These images are linked to your account while it exists; when you delete your account they are anonymised (unlinked from your identity) and kept only to improve the recognition engine.
  • Problem reports. If we invited you to send problem reports, a report sends us the screenshot you took, your comment, the page or screen you were on, and details about your device, browser and app version. Reports are analysed with an AI service (Anthropic) and received in our internal Discord workspace. The copy on our servers is linked to your account and deleted when you delete it.

3. Why we process your data and the legal basis

Waitlist — Consent (GDPR Art. 6(1)(a)). You may withdraw consent at any time by emailing hello@manakodex.com.

Account features — Performance of a contract (GDPR Art. 6(1)(b)). This data is necessary to provide the features you have signed up for.

Usage measurement — Legitimate interests (GDPR Art. 6(1)(f)). Knowing which features get used lets us improve the service. You can object by writing to the address below.

4. Data sharing

We do not sell, rent, or transfer your personal data to third parties. Our processors are limited to:

  • PropelAuth — authentication and user account management.
  • PostHog — usage measurement, hosted in the European Union.
  • OVH SAS (our hosting provider) — application servers and database storage, located in France.
  • Anthropic — analysis of problem reports sent by invited accounts (screenshot, comment and technical details).
  • Discord — internal workspace where we receive those problem reports.

5. Your GDPR rights

Under GDPR you have the right to access, rectify, erase, port, restrict processing of, and object to the processing of your personal data. To exercise any of these rights, email hello@manakodex.com with a description of your request. We will respond within 30 days. You also have the right to lodge a complaint with your national data protection authority (e.g. the ICO in the UK, the CNIL in France).

6. Data retention

Waitlist email addresses are retained until access opens or until you request deletion. Account data is retained for as long as your account is active, then deleted within 90 days of account closure. Usage data is kept for as long as your account exists and deleted with it.

7. Changes to this policy

If we make material changes to this policy, we will notify account holders by email. The "last updated" date at the top of this page is always current. Continued use of Manakodex after a change constitutes acceptance of the revised policy.
